Firstpros Limited – Health and Safety Policy

Policy Statement

Firstpros Limited is committed to ensuring, so far as is reasonably practicable, the health, safety, and welfare of all employees, contractors, visitors, and others who may be affected by our operations. We recognise that effective health and safety management is integral to our overall business performance and essential to maintaining a safe and productive working environment.

We will comply fully with the Health and Safety at Work etc. Act 1974, the Management of Health and Safety at Work Regulations 1999, and all other applicable UK health, safety, and environmental legislation, standards, and codes of practice

Our objective is to prevent injury and ill health, protect the environment, and promote a positive safety culture across all operations.

Responsibilities

2.1 Directors and Senior Management

Provide visible leadership and commitment to health and safety at all levels.

Ensure that adequate resources—financial, human, and material—are made available for implementing and maintaining this policy.

Establish effective systems for identifying, assessing, and controlling risks arising from company activities.

Review the Health and Safety Policy annually, or more frequently as required by significant changes in operations or legislation.

Promote continuous improvement through regular audits, inspections, and reviews

2.2 Managers and Supervisors

Implement and enforce this policy within their areas of responsibility.

Ensure employees and contractors are properly trained, competent, and supervised.

Conduct regular risk assessments and implement appropriate control measures.

Report and investigate all accidents, incidents, and near misses promptly.

Maintain safe working conditions, equipment, and practices at all times.

2.3 Employees

Take reasonable care of their own health and safety and that of others who may be affected by their actions.

Follow all safety procedures, instructions, and training provided.

Use all protective equipment and safety devices correctly

Report unsafe conditions, hazards, near misses, and incidents immediately to a supervisor or manager

Cooperate fully with all health and safety requirements and investigations

2.4 Contractors and Visitors

Must comply with the health and safety rules of Firstpros Limited and any site-specific requirements.

Are required to cooperate with company representatives to ensure safe working practices.

May not commence work without appropriate induction and approval.

3. Arrangements for Health and Safety

3.1 Risk Assessment

We will conduct risk assessments for all significant activities, ensuring that hazards are identified, and risks are controlled through elimination, substitution, or mitigation. Assessments will be reviewed annually or following any significant change.

3.2 Safe Systems of Work

Safe systems of work will be developed for all operational tasks, supported by written method statements and task-specific risk assessments. Work shall not proceed unless control measures are in place

3.3 Training and Competence

All employees will receive induction training covering company policies, emergency procedures, and relevant health and safety practices.

Ongoing training will be provided to maintain competence and awareness of new risks, equipment, or procedures.

Records of all training will be maintained.

3.4 Consultation and Communication

We encourage open dialogue on health and safety matters. Employees will be consulted through safety meetings, briefings, and suggestion systems. Information on policies, incidents, and performance will be communicated regularly.

3.5 Accident and Incident Reporting

All accidents, near misses, and dangerous occurrences must be reported and recorded. Investigations will be carried out promptly to determine root causes and implement corrective actions. Where applicable, incidents will be reported to the HSE under RIDDOR (Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013).

3.6 Emergency Procedures

Emergency procedures will be established for fire, first aid, evacuation, and other foreseeable situations.

Adequate first aid equipment and trained personnel will be available at all sites.

Fire risk assessments will be conducted, and fire drills carried out regularly.

Emergency contact details will be clearly displayed in all work areas.

3.7 Welfare and Workplace Conditions

We will provide suitable and sufficient welfare facilities, including clean toilets, washing facilities, rest areas, and drinking water. Work areas will be kept clean, orderly, and well maintained.

3.8 Plant, Equipment, and Maintenance

  • All plant and equipment will be properly maintained, inspected, and tested in accordance with statutory
  • requirements and manufacturer recommendations. Only trained and authorised personnel may operate
  • machinery or vehicles.

3.9 Hazardous Substances

The use of hazardous substances will be controlled under the Control of Substances Hazardous to Health (COSHH) Regulations 2002. Risk assessments, proper storage, and training will ensure safe handling and disposal.

3.10 Personal Protective Equipment (PPE)

Where risks cannot be eliminated or controlled by other means, appropriate PPE will be provided free of charge. Employees are responsible for using PPE as instructed and reporting any defects.

3.11 Monitoring and Auditing

Health and safety performance will be monitored through regular inspections, audits, and management reviews. Findings will be documented, and improvement actions implemented promptly.

4. Policy Review

This policy will be reviewed annually by the Managing Director or sooner if required by changes in legislation, company operations, or after significant incidents. Updates will be communicated to all employees and relevant parties.
